Monthly email reports allow IQAir dashboard workspace owners to automatically send monthly PM2.5 summary reports for a selected device or device group. Reports are delivered by email to selected workspace members and provide insight into air quality performance during the previous month, in comparison against:
- WHO PM2.5 guidelines
- Last month and the same month last year (if historical data is available),
- Indoor versus outdoor data (if applicable).
For air purifiers included in indoor devices or indoor groups, reports also provide information about average cleaning level (fan speed) and the total volume of air cleaned during the month.
Once enabled, a monthly report configuration automatically generates and sends a new report email on the first day of each following month until the configuration is disabled or deleted.
Before you begin
To create a monthly report:
- You can only create reports for devices inside a shared IQAir dashboard workspace (not a personal workspace) – this requires a paid enterprise subscription to the IQAir dashboard.
- You must be a Workspace Owner to create or edit a report. Workspace Admins can view or enable/disable existing report configurations.
- Email recipients must be members of the workspace with either Owner or Admin roles. You can add members in the User Management.
Creating a monthly report
- Open your shared workspace in the IQAir Dashboard. If you start in your personal workspace, then switch to one of your shared workspaces in the upper left corner of your dashboard.
- Navigate to «Analytics & Reports» in the side panel. You can see entries “Report settings” and “Reporting schedules”.
- Click on «Report Settings». As soon as one report configuration has been generated, this tab shows a list of all report configurations. Each of these generates a new monthly email report on the first day of each month.
- Click «Create Report».
- Enter a report name at the top of the screen.
- Click «Add device or group» and choose one device group or one device from the workspace. You can choose either an indoor or an outdoor group, or an indoor or outdoor device.
- Click «Select recipients» and choose one or more recipients from the list of workspace owners or admins.
- Optionally, click “Select a reporting schedule” to choose a reporting schedule if you want to restrict the report to certain times per weekday and/or exclude holidays from calculations.
- Click «Save» to save the report.
Once saved, the report will appear in the reports list and will begin its monthly delivery cycle on the first day of every month, as long as it is enabled in the “Status” column of the reports list.
Reporting schedules
Reporting schedules define the operational hours and holidays that should be considered when calculating monthly statistics of the selected devices.
They are optional: If no reporting schedule is selected, the report is based on measurements and operation of 24 hours per day, 7 days per week, without any holidays excluded.
Reporting schedules are shared workspace resources and can be used by multiple monthly reports. This is useful if there are different organizations within a workspace, each represented by a different group which may have different reporting hours. It may also be useful if different reports are generated for different user groups, e.g. the janitor of a school may want to see a 24/7 report whereas a teacher is only interested in school hours.
To create a new reporting schedule:
- Click «Reporting schedules» on the side panel to create a new reporting schedule.
- Click “Add weekly hours” to which weekdays and what times of the day should be covered in your report.
- Click “Add holidays” to add holiday periods that your monthly report should not cover.
- Add a name for this reporting schedule at the top of the screen.
- Click “Save” and you will see the created reporting schedule in a list view. Workspaces owners can edit or delete; admins can only view reporting schedules.
Alternatively, during report creation on the tab “Report settings”, you may choose «Create new» in the “Reporting schedule” section. This opens the «Reporting Schedules» section, where any new schedule must be created and saved first. Afterwards, return to «Report settings” and select the new schedule when creating or editing your report.
Viewing last month’s report
If a report had already been generated for the previous month, you can view last month’s report by clicking on the “…” in each entry of the “Report settings” list view.
What information is included in the report
Depending on the selected device or group and available data, reports include:
- Monthly average PM2.5 concentration, categorized according to IQAir’s AQI+.
- Monthly average indoor versus outdoor PM2.5, compared with last month and the same month one year earlier, with increases and decreases highlighted.
- Number of reporting days that met the WHO PM2.5 guideline, including the most polluted indoor and outdoor days.
- For air purifiers, average cleaning level as a percentage of maximum fan speed and total volume of air cleaned.
Enabling and disabling reports
Monthly report configurations can be enabled or disabled at any time.
In the list of report configurations on the «Report settings screen», there is a toggle in the “Status” column.
- When enabled, a report email is generated and sent on the first days of each month.
- When disabled, monthly report emails are no longer sent unless the configuration is enabled again.
Both Workspace Owners and Admins can enable or disable existing reports.
Frequently Asked Questions
When will my first report be sent?
Reports are sent beginning on the first UTC day of the month following creation. For example, if a report is created in July, the first report will be sent on the first day of August.
Can I create multiple reports in a workspace?
Yes. Multiple monthly reports can be configured within a workspace.
Can I use one reporting schedule for multiple reports?
